Booking an appointment is more than choosing an empty slot.
A service estimate may need a different duration from a repair visit. A new-client consultation may require intake before the calendar can be opened. We build those distinctions into the workflow so the receptionist knows what can be booked, what needs review and what should be passed to your team.
Confirm the rules before confirming the time.
Illustrative office inquiry: A new client asks for a consultation next Tuesday. The receptionist collects contact details and a brief description of the request, checks the approved consultation calendar and records the agreed time. If your office requires eligibility review first, the same call becomes a booking request rather than a confirmed appointment.

The calendar rules we need from you
- Appointment types: estimates, consultations, service visits and other categories you offer.
- Availability: working hours, booking windows, buffers and any staff or location restrictions.
- Eligibility: service areas, customer requirements and questions that must be answered before booking.
- Changes: cancellation notice, rescheduling permissions and what requires your approval.
- Handoffs: who receives new appointments, exceptions and unresolved requests.
Confirmed booking or request for approval?
We distinguish these clearly. A confirmed booking is entered only when the receptionist has the necessary access and permission. A request records the caller’s preferred timing and is passed to your team for review. The customer is told which one applies so they do not mistake a preference for a reserved appointment.
Reschedules and customer changes
The receptionist identifies the existing appointment, records what needs to change and applies your rules. A change outside the approved window, an unavailable staff member or a request requiring technical judgment is sent to your designated contact. Access instructions and updated contact information can be included in the handoff.
Can you use our existing booking software?
We review your system, access controls and workflow during consultation. Compatibility and permissions must be confirmed before we promise direct booking. If direct access is unsuitable, we can discuss a request-and-approval process instead. Specialized systems and sensitive information need a separate suitability review.
What does scheduling support cost?
Scheduling is part of the agreed front desk responsibilities in our part-time and full-time plans. Confirm your working days, coverage hours, volume and systems before starting. Calls outside the agreed window and unusual workflows need an explicit handling plan.
